How to Schedule, Change, or Cancel a Conference
Scheduling a Conference
The following are step-by-step instructions for scheduling your audio conference by phone or the Internet.
By Internet
You must pre-register before making online reservations. If this is your first reservation, go to the University of Chicago Online Reservation Desk at www.yourconferencecenter.com/uchicago/applicant.aspx and complete the new account registration information. Your ID and password will be provided to you within 24 hours. This login and password can be used every time you make an online reservation. You will receive a welcoming email with your login information.
To Schedule a Web Conference through the Internet, follow the steps below:
- Log on to the University of Chicago Audio Conferencing Services online reservation desk at www.yourconferencecenter.com/uchicago. If you have forgotten your login ID and/or password or have been locked out after three attempts, please call UofC Conf (1-877-863-2266) for assistance.
- Enter the Login Name and password provided to you through the account pre-registration process.
- Click on Submit. You will see the "My Account Dashboard" screen. This Account Dashboard is where audio and web conferences can be scheduled or canceled , where you can update your profile, and where you can view a history of all calls scheduled.
- Determine the type of conference you wish to schedule and click on the specific type on the left side or top of the window:
- 24x7 Subscription (ConferenceNOW®) - can be audio only or audio and web; also provides on-demand conferencing whenever needed
- New Passcode Conference - one time audio only or audio and web conference

By Phone
- Call UofC Conf at 877-863-2266.
- Provide the following information:
- State your name.
- Provide account verification information (6-digit University of Chicago Authcode) for billing
- Tell the Meeting Consultant if you are the Host or the Arranger (you are arranging this for someone such as your supervisor)
- If you are the Arranger, provide name of host and host's phone number, fax number, and email address
- If you are using audio with your web conference, the UofC Meeting Consultant will ask you for the following:
- Date and time of the call and estimated duration (you can request this to be a "24x7" conference, available at any time).
- Number of participants
- Tell the Meeting Consultant whether you require a standard toll number (available for international calls) or a domestic toll-free number.
- Notify the Meeting Consultant if you prefer a special toll-free number for your international callers to join your audio conference. Click here to see available countries and rates.

- If desired, your conference reservation will be confirmed by e-mail.
How to Cancel or Change a Conference
- By Phone: Call UofC Conf at 877-863-2266.
- By Internet:
- Login to www.yourconferencecenter.com/uchicago and enter your login ID and password;
- In My Account Dashboard, click the + before the conference name you wish to edit or cancel;
- From the list, click Cancel and confirm cancellation in the verification window by clicking on Submit, or
- From the list, click Edit and update necessary information
- From the list, click Cancel and confirm cancellation in the verification window by clicking on Submit, or
- You will receive an on-screen notice that an email confirmation will be sent to you.
